Who is responsible

What we collect and why
When you enrol, we collect:
- Your name, address, phone and email, and a second parent or guardian if you add one. We use these to deliver tutoring, contact you and bill you.
- Each student's name, grade, school, date of birth or age, subjects and teachers. We use these to match the right tutor and plan the tutoring.
- Anything you choose to tell us about your child's learning in the comments. We use this only to plan their tutoring and share it only with their tutor.
- Your weekly availability, to schedule sessions.
- Your signature, the date and time you signed, your IP address and browser details. We keep these as a record that you signed your agreement.
- Payment details. Your card is entered on and stored by Stripe, our payment processor. We never see or store your full card number.
We only collect what we need for these purposes, and we do not sell your information.
Who we share it with
We use a small number of service providers to run the business. They may only use your information to provide their service to us:
- Stripe, to take and store card payments.
- Neon and Vercel, which host this enrolment website and its database.
- Google, for email.
- QuickBooks (Intuit), for our bookkeeping. It receives your name, postal address, the students' names and payment amounts. It never receives your email or phone number.
- Your child's tutor, who receives what they need to teach: the student's details, your contact details, availability and your comments.
- Tutor Doctor, our franchisor, for the enrolment records its franchise system requires.
Information stored outside Canada
Several of these providers store or process information in the United States. While it is there, it is subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities.
How long we keep it
- Signed agreements and payment records: seven years after your last session, because tax law requires us to keep financial records for six years.
- Notes about your child's learning: two years after your last session, then deleted.
- Marketing preferences: until you unsubscribe.
Email from us
We send email you need about your enrolment, such as your signed agreement and payment notices. We only send tips, news or offers if you ticked the optional box when you enrolled, and every one of those messages has an unsubscribe link.
Your choices
You can ask to see the information we hold about you or your child, ask us to correct it, or withdraw consent for anything that is optional. Contact Matthew Dominici using the details above and we will respond within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
If something goes wrong
If a breach of our safeguards creates a real risk of significant harm to you, we will tell you and report it to the Privacy Commissioner, as the law requires.
